About the Role:

As a CBRE Hybrid Workplace & Facilities Coordinator, you will work at the forefront of delivering a positive, best-in-class office experience while working closely with clients, vendors, and contractors to ensure that facility tasks and work orders are complete.

This job is part of the Workplace Experience and Facilities Management functions.

  • Workplace Experience are responsible for providing world-class customer service to the clients and visitors of a designated building.
  • Facilities Management functional area focuses on all aspects of the operations of a set of assets, providing support to the Property Managers regarding all repairs and investment plans.


    What You'll Do:

    Workplace Experience:

    • Provides coordination and support for delivery of workplace services such as, but not limited to: Mailroom Support, Conference Room Management, Office Supply Management, Plant Care, Meeting & Event setup, signage placement, distributing parking permits, monitoring active building slack channel and minor occupancy planning requests.
    • Maintains awareness of the workspace.
    • Submits and manages janitorial and maintenance work orders as needed and/or connects with appropriate partners to address issues.
    • Acknowledge inquiries or complaints from employees, guests, and co-workers. Provide solutions in a professional customer service-driven manner.
    • Follow property-specific security and emergency procedures. Notify appropriate parties to ensure the safety of all individuals in the building.
    • Coordinate with vendors who supply services or goods to the workplace.
    • Impact through clearly defined duties, and methods and tasks are described in detail. Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion.


      Facilities Coordination:

      • Work with landlords, tenants, and service providers to make sure they implement and recognize all procedures, policies, and reporting formats.


        • Acknowledge all client inquiries and collect work orders; create and assign tickets to building engineers and vendors for all building-related issues.
        • Schedule and escort vendors as needed
        • With the assistance of building engineers, vendors and site Facility Manager, maintain :
        • Facilities equipment (lighting, plumbing, drains, doors , etc )
        • Safety compliance (Safety showers, first aid kits, AED, and Eyewash Stations)
        • Assisting with smaller "in-house" moves/shuffles
        • Create, manage and process purchase orders, invoices and ensure proper cost center coding
        • File work orders, proposals, department files, and other paperwork submitted by vendors.
        • Provides reports on open and closed work orders and checks status with the appropriate technician or vendor
        • Monitor activities that happen outside the building, such as proper waste disposal and recycling.
        • Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion


          What you'll need

          Applicants must be currently authorized to work in the United States without the need for visa sponsorship now or in the future.

          HS Diploma or GED or equivalent experience required.
          • A minimum of 3-4 years of Previous experience in event planning at convention centers or as concierge in hospitality industry preferred
          • Excellent communication and interpersonal skills
          • Strong multitasking and problem-solving abilities
          • Ability to remain calm and professional in high-pressure situations
          • Open and flexible work schedules.
          • Ability to comprehend and interpret instructions, and memos and ask clarifying questions. Desire to present information to an internal department and/or large groups of employees.
          • Comfortable meeting and engaging with new people with a warm demeanor, being able to assess circumstances, empathize, and offer help.
          • Apply a high level of attention to detail as well as strong verbal and written skills.
          • Ability to work requiring significant walking or through other means of mobility. This includes standing in position for extended periods, reaching, bending, stooping, pushing and/or pulling, and frequently lifting up to 40 lbs.

              CBRE carefully considers multiple factors to determine compensation, including a candidate's education, training, and experience. The minimum salary for the Workplace & Facilities Experience Coordinator position is $60,000 annually and the maximum salary for the Workplace Experience & Facilities Coordinator position is $65,000 annually. The compensation that is offered to a successful candidate will depend on the candidate's skills, q ualifications, and experience.
