Aerospike is seeking an experienced Executive Assistant to provide seamless administrative support to the Chief Revenue Officer across a broad array of needs. The person in this role will need to be self-motivated, a skilled and dynamic problem-solver given multiple complex calendaring and prioritizations across multiple initiatives. The ideal candidate needs to have experience in sales planning and producing content for Sr Exec and Board level presentations and demonstrated advanced skills with MS Office - especially Excel & PowerPoint. Additionally, the ideal candidate will have exceptional communication skills, and will be resourceful in building relationships across the organization.

What You'll Bring

Minimum of 5+ years working at the Executive administrative level, effectively supporting multiple leaders at one time.
Technical Savvy and Acumen: Navigates and uses systems and business tools to assist in core responsibilities. Advanced knowledge of the suite of standard office software is required to effectively perform in this role. Specific Examples: Microsoft Office especially Excel and PowerPoint, expense tools, reporting tools, Sales Force CRM, Web conferencing, Slack messaging tool, email distribution manager, Google suite, HR portals, etc.
Board Presentation preparation as well as supporting the CRO's analytical requirements are a critical aspect of the job.
Having previous experience in building and maintaining spreadsheets to support the Sales planning process and creation and distribution of sales Compensation plans is a must.
Stakeholder Management: Communicates with contacts at all levels in the organization, including executive officers, customers, stakeholders and external partners. Is regularly exposed to confidential data and exercises complete discretion and handle highly confidential information with 100% integrity.
People Impact and Influence: Proven leadership skills and teaming capability. Ability to coach and inspire others. Role models a feeling of belonging, inclusivity and strong team morale through open dialogue and collaboration amongst peers. Shares own ideas in a compelling manner and aligns on commitments with executive leaders and peers.
Business Acumen: Continuously learns about the business, business op mechanisms and products.
Possess strong interpersonal skills, as well as a strong customer service perspective (internal, as well as external), and can handle issues with respect, dignity, sensitivity, and urgency.
Ability to act quickly from one task to another, seamlessly and professionally in a fast-paced environment.
Excellent verbal and written communication skills including the ability to communicate with all levels of the organization.
Min Associates Degree required - BA preferred.

How You Will Lead

Reports to the Chief Revenue Officer and builds a strong rapport and relationship with this leader and the Global Sales & Services leadership team.
Handle details of a highly confidential and sensitive nature which require in-depth knowledge of company operations, policies, and procedures.
Meeting Engagement: Attends SVP staff meetings as an active member including full participation and deliverables as it pertains to the organization. Responsible for organizing agendas at the direction of the executive and ensures meetings deck/documents are prepared.
Time and Meeting Management: Extensive calendar management and coordination, often solving what needs to get done based on knowledge of prioritization without continuous direction. Orchestrate the many demands and roles of this leader(s) and prioritization of their time. Plans and organizes meeting events by taking responsibility of business op mechs and assembling the agenda (with guidance from the leaders), location, logistics and technology.
Stronger Together: Create close relationships/partnerships across the Executive Assistant community. Partner across organizational boundaries to deliver outcomes. Work effectively as a team player, working well with peers and members of the greater organization. Trustworthy and able to exhibit a high degree of confidentiality and integrity.
Travel Coordination: Understands and adheres to the travel policy when managing travel arrangements for multiple executives domestic and international. Assists with creation of agenda, prepares travel docs and proactively manages disruption in travel plans Owns the passport and visa process E2E in partnership with an external travel vendor.
Event planning / coordination to include support for large meetings, off-sites and team motivation events with minimal guidance.
Financial Management: Understands and adheres to the expense policy when proactively collecting documentation for all expense reports, can provide support or ownership with PO creation/accruals, check requests and follow up.
Project Management: Strong organization, project management and problem-solving skills. Quickly learn background and context to enable independent thinking and decision making with limited data. Org Chart maintenance for functional groups. Maintain email distribution lists.
Make high level contacts of a sensitive nature inside and outside the company.
Be the "eyes and ears" of the team and be sensitive to the needs of employees.
