JOB SUMMARY

The Senior Workplace Program Coordinator provides workplace services and administrative support to increase individual well-being, personal productivity, and organizational effectiveness. The Senior Coordinator connects employees to their environment and helps them find balance in their life through high-touch services and world-class customer service support delivered by employees like the Senior Workplace Program Coordinator. The Senior Workplace Program Coordinator is responsible for providing customer service, marketing & communications support, scheduling assistance, program documentation updates, and other duties as needed in support of the Specialty Programs. The program gives employees access to amenities such as fitness programs and massage services by making it easier for employees to take care of themselves beyond their day-to-day work responsibilities.

Essential Duties & Responsibilities:

  • Provides coordination and administrative support for delivery of Workplace Services. Services include, but are not limited to:
    • Massage & Fitness Programs
    • Vendor Management
    • Meeting & Event Support
    • Community Building
    • Workplace Coaching
    • Space Reset
    • Workplace Onboarding
    • New Site Openings
    • Recreation Programs
    • Project Management
    • Provide customer service via Client's internal channels, including ticketing system, scheduling, phone, email, or in-person.
    • Thrives in a fast-paced environment and in ambiguity.
    • Program marketing and communications through internal channels.
    • Maintain and update program documentation.
    • Create and maintain a wide variety of templates, toolkits, presentations and other documents.
    • Maintains relationships with vendors that provide services and goods to the office. Ensures all vendors used have current proof of insurance and contractual documentation in place, per requirements.
    • Provide support for delivery of onsite events and services as necessary.
    • Provides administrative support for the Workplace Program team as directed, including expense management, meeting coordination, office and workplace experience, equipment care, and supply management.
    • Manages accuracy, production, quality and retention of program materials; which may include administration of SharePoint sites or similar client specific portals. Ensures client and company materials comply with client and company brand guidelines.
    • Utilizes and maintains the integrity of databases and other digital tools associated with service delivery, as requested.
    • Ensures all billings for business services are invoiced and billed as required.
    • Attend, move meetings and coordinate all moves with client contacts.
    • Responds to customer requests and complaints regarding Workplace Program services.
    • Performs other duties as assigned.
    • Supervisory Responsibilities: No formal supervisory responsibilities in this position.


      QUALIFICATIONS



      Reasoning Ability: Understand and carry out general instructions in standard situations. Solve problems in standard situations, which requires basic analytical skills.

      Financial Knowledge: Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.

      Intermediate skills with Google Workspace products such as Gmail, Drive, Calendar, Meet, Chat, Sheets and Slides. Comfortable with and embracing of new technologies and digital tools; such as Apps, databases, financial management, work order management, social networking, cloud technologies, handheld mobile technologies and applications, and communications.

      Communication Skills: Ability to tailor communications based on audience;Strong vendor facing and user facing communication skills. Respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Effectively present information to an internal department and/or large groups of employees. Comfortable meeting and interacting with new people. Warm and engaging demeanor, and the ability to assess circumstances, empathize and offer help.

      Certificates and/or Licenses: None
      Education and Experience: HS Diploma or GED required. A minimum of 2 - 3 years related experience (e.g.Concierge, Hospitality, Room Management, or Customer Service roles) is required. Associates or Bachelors degree preferred.

      SCOPE OF RESPONSIBILITY

      Decisions made with understanding of procedures and company policies to achieve set results and deadlines. Responsible for setting own project deadlines. Errors in judgment may cause short-term impact to co-workers and supervisor.

      • Report any condition which you feel could result in an accident or injury and / or stop work if required.

        CBRE carefully considers multiple factors to determine compensation, including a candidate's education, training, and experience. The minimum salary for the Sr. Program Coordinator position is $65,000 annually and the maximum salary for the Sr. Program Coordinator position is $80,000 annually. The compensation that is offered to a successful candidate will depend on the candidate's skills, qualifications, and experience.
